We are seeking a highly organized and detail-oriented Bilingual Virtual Assistant to join our team. As a Virtual Assistant, you will provide comprehensive administrative support to ensure the smooth operation of our daily tasks and facilitate effective communication between English and Spanish-speaking stakeholders.
Responsibilities:
Act as the primary point of contact for English and Spanish-speaking clients, responding promptly and professionally to their inquiries via email, phone, and other communication channels.
Provide excellent customer service by addressing client concerns, resolving issues, and maintaining a positive and friendly attitude.
Assist with scheduling appointments, managing calendars, and organizing meetings, ensuring all participants are informed and prepared.
Prepare and translate documents, correspondence, and reports from English to Spanish, and vice versa.
Conduct research and gather relevant information to assist with project planning, presentations, and other tasks.
Maintain and update databases, ensuring accuracy and confidentiality of information.
Manage travel arrangements, including booking flights, hotels, and transportation, and preparing travel itineraries.
Assist with basic bookkeeping tasks, such as tracking expenses and preparing invoices.
Handle general administrative duties, including filing, organizing files and documents, and maintaining office supplies.
Requirements:
Fluency in both English and Spanish, with excellent written and verbal communication skills in both languages.
Proven experience as a virtual assistant or in a similar administrative role.
Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
Proficiency in using productivity tools such as Microsoft Office Suite, Google Workspace, and project management software.
Exceptional attention to detail and accuracy in all tasks.
Strong problem-solving skills and the ability to work independently with minimal supervision.
Excellent interpersonal skills and the ability to build positive relationships with clients and team members.
High level of confidentiality and professionalism.
Availability to work during regular business hours, with flexibility to accommodate occasional meetings or tasks outside of standard hours.
Preferred Qualifications:
Experience in a customer service role, preferably in a multicultural environment.
Familiarity with translation software or tools.
