We are seeking a highly organized and detail-oriented part-time Virtual Assistant to support a busy Georgia-based realtor for 20 hours a week. This role is critical in managing the full lifecycle of real estate transactions and listings, ensuring that our clients receive a seamless and high-quality experience. The ideal candidate will have a strong background in real estate, particularly in the Georgia market, and be proficient in handling multiple listings and transactions simultaneously. Familiarity with tools like KW Tools, Lofty, and Flodesk is essential.

Key Responsibilities:

Listing & Transaction Management:

- Oversee all aspects of listing management, including data input, client and agent communications, and preparation of detailed weekly reports.
- Manage transaction processes from contract to close, ensuring all documentation is accurate and deadlines are met. (Must be fluent in all contract to close duties)
- Serve as the primary point of contact for all listing and transaction-related inquiries, providing excellent customer service to clients and agents.

Marketing Implementation:

- Assist with the implementation of the Momentum program to enhance marketing efforts.
- Manage social media accounts, leveraging tools like Coffee & Contracts to keep the team page updated and engaging.

Administrative Support:

- Manage and organize the realtor’s email inbox, ensuring timely responses and prioritization of important communications.
- Provide scheduling support, managing calendar changes and appointments efficiently.
- Organize and maintain the digital file system on Google Drive, ensuring easy access and efficient document management.
- Support ongoing website updates and maintenance, particularly for the Agent Toolbox.

Business Structure & Streamlining:

- Implement structured processes, including setting up templates, intakes, trackers, and CRM systems to optimize business operations.

Team Management Support:

- Assist with team management tasks, including meeting scheduling, maintaining team tools, developing standard operating procedures (SOPs), and tracking performance.

Qualifications:

- Extensive experience in Listing and Transaction Management, specifically within the Georgia real estate market.
- Familiarity with Georgia real estate transaction processes, documentation, and regulations.
- Previous experience as a Virtual Assistant with a focus on real estate, marketing, and administrative support.
- Proficiency with KW Tools, Lofty, and Flodesk
- High attention to detail and excellent organizational skills.
- Ability to manage multiple tasks efficiently and independently.
- Strong communication skills, both written and verbal.
- Availability to work from 9 am-1 pm est or 10 am-2 pm est.
