Key Responsibilities: > Client Communication: Act as the primary point of contact for client inquiries, scheduling, and updates, demonstrating empathy and professionalism in all interactions. > Appointment Management: Coordinate pet sitting schedules, ensuring timely assignments and proper documentation of appointments. > Administrative Support: Assist in maintaining accurate records, managing invoices, and processing payments. > Pet Care Coordination: Liaise between pet sitters and clients to ensure detailed care instructions are followed and any special needs or requests are accommodated. > Team Collaboration: Collaborate with fellow virtual assistants and pet sitters to streamline processes and enhance overall service delivery. > Problem Solving: Address any client concerns or scheduling conflicts promptly and effectively, striving for optimal resolutions. > Continuous Improvement: Proactively identify areas for improvement in administrative processes and contribute ideas for enhancing client satisfaction and operational efficiency. > Email Management: Efficiently manage and organize the company's email inbox, prioritizing messages and ensuring timely responses to inquiries and client communications. > Task Management: Utilize task management software to assign, track, and monitor the progress of pet sitting assignments and administrative tasks, ensuring deadlines are met and quality standards are upheld. > Other Tasks: Develop SOPs: Lead the development and documentation of Standard Operating Procedures (SOPs) for various administrative processes within the agency, including email management, task allocation, and client communication protocols.
