Project overview
Responsibilities: Email Management: Check and respond to emails from tenants, property owners, vendors, and other stakeholders. Prioritize urgent emails and flag important ones for the team. Tenant Communication: Address tenant inquiries and concerns. Send rent reminders and follow up on late payments. Coordinate maintenance and repair appointments. Appointment Scheduling: Coordinate and schedule property viewings, inspections, and maintenance services. Manage the AppFolio calendar in relation to moveins/moveouts, maintenance requests, etc. Data Entry: Update tenant and property records in AppFolio. Update all tenant insurance information. Property Listings: Post and update property listings on our website and syndications via ShowMojo. Monitor and respond to inquiries from prospective tenants. Educate potential tenants on benefit packages, no deposit programs, etc. Social Media Management: Create and schedule social media posts related to available properties, company updates, and property management tips on Instagram and Facebook. Engage with followers and respond to comments and messages. Reporting: Prepare weekly reports on rental income, vacancies, maintenance issues, delinquencies, collections, and evictions. Provide updates on tenant communication and outstanding issues. Lease Management: Track lease expiration dates and notify owners and tenants of upcoming renewals. Assist in preparing and sending new lease and renewal documents. Vendor Coordination: Communicate with vendors and contractors to ensure timely completion of maintenance and repair work. Obtain quotes for larger repair or renovation projects and present them to the property manager. Administrative Support: Prepare documents, letters, and notices as required. Assist with any special projects or tasks assigned by the owners. Customer Service: Handle tenant complaints and escalate issues to the owners when necessary. Provide excellent customer service to maintain positive relationships with tenants and property owners. Tools and Software: Property Management Software: LeadSimple, AppFolio Communication Tools: Email, Microsoft Teams, Zoom Office Suite: Microsoft Office Social Media Platforms: Facebook, Instagram, LinkedIn Marketing Tools: Canva Qualifications: Proven experience as a virtual assistant or relevant role. Excellent communication and interpersonal skills. Strong organizational and timemanagement skills. Proficiency in using property management software and other relevant tools. Ability to work independently and manage multiple tasks simultaneously. High level of attention to detail and problemsolving skills.
