We’re seeking a detail-oriented and reliable Part-Time Administrative Assistant to provide day-to-day support to our Founder and Managing Partner, Jodi Jefferson, and up to one additional team member. As we connect technology executives with mission-critical roles in innovative companies, this role is essential for maintaining organization and efficiency.

This position offers visibility into the executive search process and the dynamic tech ecosystem. Your primary responsibility—and the mission of this role—is to ensure seamless meeting coordination, diligently track data in appropriate systems, prepare team members for meetings, and capture key information afterward. You’ll be an integral part of a small, ambitious team based in New York City, working primarily during EST business hours.

### **What You’ll Do** 🗓️ **Scheduling & Meeting Coordination** - Manage calendars and coordinate meetings with precision. - Send reminders and nudges as deadlines approach. 📞 **Meeting Preparation & Follow-Up** - Conduct research and organize documents for meetings. - Enter data into ATS (Recruiterflow) and other platforms (e.g., Notion) following meetings. 💻 **Data Management** - Perform data entry tasks with accuracy and consistency. - Maintain and update information in tools such as Recruiterflow, Notion, and Slack. 📚 **Research** - Support team members with research tasks as needed. ### **About You** - **Reliable & Accountable:** Past employers describe you as extremely dependable and always prepared. - **Detail-Oriented & Proactive:** You anticipate problems before they arise, ensuring seamless operations. - **Autonomous & Solutions-Oriented**: You independently manage priorities while staying flexible and optimistic. - **A Team Player:** You thrive in a collaborative environment and align with our mission. - **Available:** Able to work during EST business hours. ### Experience & Skills - 5+ years in an administrative assistant role, supporting executives. - High level of professionalism with the ability to handle sensitive and confidential information. - Proficiency with tools such as Gmail, Google Docs, Calendly, Notion, Zoom, and Slack. - Excellent verbal and written communication skills with strong attention to detail. - Strong organizational skills, with the ability to prioritize and meet deadlines. ### What We Value At People Project, our values include diversity, inclusion, coaching, candor, empathy, ownership, and celebration.
