Job Description:

We are seeking a highly organized and proactive Full-Time Virtual Assistant to support our team with a variety of administrative and operational tasks. The ideal candidate is a self-starter with excellent communication skills and the ability to manage multiple responsibilities efficiently.

Responsibilities:

Administrative Support:
Manage calendars and schedule appointments for the Legacy Alarm team.
Organize meetings and prepare meeting agendas.
Handle email correspondence and filter important communications.

Data Management:
Maintain and update databases and CRM systems.
Prepare reports and presentations as required.
Customer Service:
Respond to customer inquiries via email or chat.
Assist in resolving customer issues promptly and professionally.

Content and Social Media:
Assist in managing Legacy Alarm's social media accounts by scheduling posts and monitoring engagement.
Help with content creation tasks such as drafting blog posts or newsletters.

Research:
Conduct market research on industry trends and competitors in the security sector.
Gather data to support business decisions.

Project Coordination:
Assist in coordinating projects by tracking progress and deadlines.
Communicate with team members to ensure tasks are completed on time.

Other Duties:
Perform miscellaneous tasks as needed to support the Legacy Alarm team and company operations.

Qualifications:

Education & Experience:
Bachelor's degree preferred but not required.
Minimum of 2 years of experience as a Virtual Assistant or in a similar administrative role.

Skills:
Fluent in English (both written and spoken).
Excellent verbal and written communication skills.
Strong organizational and time-management abilities.
Proficient in Microsoft Office Suite and Google Workspace.
Experience with project management tools like Asana, Trello, or ClickUp.
Familiarity with CRM systems such as Salesforce or HubSpot.
Basic knowledge of social media platforms and scheduling tools.
Ability to anticipate needs and offer solutions proactively.
Meticulous in handling tasks and ensuring accuracy.

Personal Attributes:
Able to work independently with minimal supervision.
Comfortable with a fast-paced environment and shifting priorities.
Maintains confidentiality and demonstrates integrity.

Working Hours:

40 hours per week (Full-Time)
Monday to Friday, 9:00 am to 5:00 pm pacific standard time (pst)
occasional need for flexibility to accommodate meetings in different time zones.

Employment Duration:

Long-term position: We are seeking a candidate interested in a long-term commitment to grow with Legacy Alarm.

Compensation:

Competitive salary based on experience and qualifications.
