We are looking for an experienced Figma designer to create a comprehensive, user-friendly, and visually appealing design for our Property Management System (PMS) SaaS application. The design should cover all essential pages, components, and states necessary to build the platform and provide a seamless experience for different types of users: homeowners, business owners, and condo managers.

Project overview

Design Scope: Platform Overview: The platform should accommodate three main property types: Homes, Buildings with multiple rental units, and Condos. Each property type should have its own flow for property setup, guest management, rate plan management, and communication. User Roles and Views: Platform Admin: Oversee all properties and manage users. Account Admin: Manage properties under a single account. Guest/Website User: Limited access to view their own information and guest stay details. Front Desk User: Manage guest onboarding, check-ins, and service requests. Required Pages and Components: 1. Onboarding and Authentication: Sign Up, Login, and Forgot Password pages. Multi-step onboarding for creating an account and setting up the first property. Dynamic onboarding wizard for property creation based on property type (Home, Building, Condo). 2. Dashboard: Overview dashboard with summaries of properties, occupancy, finances, and recent activities. Widgets for KPIs (e.g., Occupancy rate, income/expense, pending tasks). 3. Property Management: Property list with filters for property type, status, and occupancy. Property detail page showing specific information, occupancy, rate plans, and calendar view. Property configuration pages for adding/editing property details. Rate plan configuration: Create, edit, and view rate plans with visual representations of available/unavailable periods. Property calendar with booking management and availability status. Property maintenance and service request management, including a ticketing system view. 4. Guest Management: Guest list page with filters and search functionality. Guest profile pages showing stay details, communications, and service history. Custom check-in and check-out workflows with guest information collection. Guest communication history (email, SMS, etc.) With templates and automated responses. 5. Billing and Finance: Invoices, payments, and receipts list with search and filtering options. Invoice/Payment detail page with transaction history, download/print options. Expense tracking and categorization. Basic financial reports overview for property income, expenses, and balance. 6. Notifications and Communication: Notification center for system, user, and event-based notifications. Email and SMS templates for different triggers (e.g., Guest booking, maintenance request, check-in reminders). In-app messaging system for users to communicate internally. 7. Rate Plan and Pricing Management: Rate plan builder interface with eligibility criteria, pricing tiers, and period-based adjustments. Policy management for cancellations, payment terms, and deposits. 8. User Management and Permissions: User list with roles and permissions management. Invitation workflow for adding new users to the platform. Account settings page for managing subscription and billing details. 9. Reports and Analytics: Pre-configured report templates for occupancy, income, and expenses. Custom report builder allowing users to filter data and create custom views. Export options for PDF, Excel, and CSV. 10. Mobile and Tablet Views: Responsive design for mobile and tablet versions of the platform. Adaptations of key pages for mobile, including dashboard, property management, and guest management. 11. Miscellaneous: UI component library in Figma for buttons, forms, tables, and modals. Error states, empty states, and loading states for each page. Design of notification toasts, modals, and pop-ups. Style guide with typography, color palette, and component specifications. Design Style and Preferences: Clean, modern design with a professional look. Consistent use of color and typography for different user roles and actions. Visual hierarchy that guides the user to the most important actions. Use Hotwire principles for interactions: Turbo Frames for UI updates and Turbo Streams for UI elements. Delivery Requirements: Complete design files in Figma, with organized layers, components, and frames. A prototype of core workflows for onboarding, property management, guest management, and rate plan configuration. Component library and style guide documentation within the Figma project. Presentation or walkthrough of the design to explain key features and workflows. Optional: Create additional designs for a marketing landing page, showcasing the platform’s main features and benefits.
